Proposal Administration

In order to provide more comprehensive support for Principal Investigators’ (PI) proposal development efforts, the Office of Research (OR) has created an OR Proposal Administration (PA) team. The Proposal Administrators work as part of a larger team of Research Development (RD) and Office of Sponsored Projects (OSP) staff to support faculty with proposal submissions. Proposal submission support includes initiating proposal records in Cayuse, building budgets, assisting with budget justifications, interpreting sponsor requirements, providing a list of required sponsor documents along with due dates, initiating required documentation (biosketches, current and pending, subaward documents, etc.), formatting and uploading documents into internal and external portals (Cayuse, Fastlane/Research.gov, etc.).

PIs may continue to work with their RD Specialist on developing competitive proposals and OSP will still review final proposal packages and submit them, but our goal is for the Proposal Administrators to be the primary point of contact for the proposal process.

Please be aware that all internal proposal deadlines must still be followed when working with a Proposal Administrator. To ensure the deadlines are met, documents should be sent to the Proposal Administrator well in advance. Sufficient time is needed for the Proposal Administrator to assist in getting the proposal ready for OSP's final compliance review.

PIs who do not utilize the Proposal Administrator’s assistance prior to internal deadlines and send documents that are not submission-ready on the supplementary documents deadline (five days before the submission deadline) will have one business day to address recommendations to come into compliance with UC and sponsor requirements. Depending on the level of non-compliance, the PI may be required to complete a late exception request form. If no response is received or if documents remain untouched by the end of the next business day, the proposal package will be sent as-is to OSP for submission. Please note that not addressing recommendations from your Proposal Administrator may result in a sponsor rejecting the proposal.

Please review UCSC's proposal submission deadlines to ensure you meet timely submission for proposals.
